Detailing Invoice Checklist Before You Send a Link

An invoice can be technically payable and still be confusing or wrong. Before sending it, compare the payment request with the approved work and the customer's actual payment arrangement. A short review prevents avoidable questions and protects trust.

Check that the job should be invoiced here

If payment is being handled elsewhere, do not create a second collection obligation just to make a record look complete. Keep the operational job history while using the correct collection workflow.

WeavrCRM invoicing is opt-in per appointment or recurring series. Confirm that choice and the business-owned Stripe setup before treating the platform as the collection system.

Review the invoice facts

Tax requirements depend on jurisdiction and service circumstances. Ask an accountant or qualified adviser rather than applying a generic rate.

  • Correct business, customer, and vehicle context.
  • Approved service lines and any authorized changes.
  • Line amounts, discounts, and applicable taxes.
  • Deposit treatment and previously received payments.
  • Remaining balance, due context, and payment link.
  • A clear contact for questions or corrections.

Check the numbers with a concrete reconciliation

The exact order and treatment depend on your accounting and tax setup. The purpose is to ensure the customer is not charged twice or shown a balance that ignores an applied deposit.

Agreed service total
− discounts already reflected correctly
+ applicable taxes or approved charges
− payments/credits that apply
= remaining amount requested

Choose the delivery channel deliberately

Some customers prefer a texted link and others prefer email. Verify the destination and explain the payment purpose in the accompanying message.

Generating a link does not authorize an automatic customer send. Review delivery explicitly and avoid repeated sends when the previous attempt's outcome is uncertain.

Preserve paid history when fixing mistakes

Do not erase a paid invoice to hide an incorrect service line. Use the appropriate correction, credit, refund, or replacement process and retain a clear explanation.

If payment status differs between tools, reconcile it before pursuing the customer. A clean collection process depends on trustworthy records, not just a payable button.

The practical takeaway

Review scope, arithmetic, payment history, and delivery before asking the customer to pay.
